Engage R+D is committed to protecting the privacy and security of the individuals and organizations who interact with us. We collect, store, and use personal information in ways that support our learning, evaluation, and field-building work while upholding ethical and professional standards.

Information We Collect

We collect personal information in a few specific ways:

  • When individuals sign up for our email newsletter.

  • When individuals participate in surveys, interviews, focus groups, and/or events related to our learning, evaluation, and field-building projects.

  • When we administer stipends or incentives, which may include collecting mailing addresses for delivery.

  • When individuals communicate with us directly via email or other channels.

  • Mailing address (when relevant for incentives or stipends)

  • Conduct learning and evaluation activities on behalf of our clients and partners;

  • Analyze data in aggregate or anonymized form to support learning and evaluation.

We do not sell, rent, or share personal information with outside parties for marketing or commercial purposes.

How We Store and Protect Information

All project files — including personal information collected through surveys, interviews, or other engagement activities — are stored securely on platforms such as Box and Google Workspace, using two-factor authentication and role-based access controls

Access is limited to authorized project team members and, when appropriate, trusted partners. Sensitive files (e.g., interview transcripts, recordings, raw survey data) are stored in restricted-access folders and deleted when no longer needed.

Use of Generative AI Tools

We use organizational AI tools, including Claude and CoLoop, to support data analysis and other project activities. These platforms provide enhanced security features and do not use our data to train public models.

We never upload personal information to unapproved tools, and any AI-assisted outputs are reviewed by staff for accuracy and appropriateness.

Data Retention and Deletion

We retain personal data only as long as necessary for the purpose for which it was collected or to meet legal and contractual obligations. At project close-out, we delete sensitive information (e.g., raw transcripts, recordings) and retain only the minimum necessary records for contractual or learning purposes.

Your Rights

You may:

  • Request to review, correct, or delete your personal information;

  • Opt out of receiving newsletters or other communications;

  • Decline to provide personal information at any point.
